We are a dynamic community-based health centre promoting social justice and health equity in the Regent Park neighbourhood and east downtown area of Toronto. We operate out of several locations and provide a wide variety of services including: primary health care, chiropody, physiotherapy, health promotion, social work, community health, immigrant and refugee services, housing assistance, harm reduction and homeless programs, Pathways to Education for high school students, infant and child development programs, parenting education and family advocacy.

Job Summary

The Early Years program is part of an inter-disciplinary team within the Regent Park Community Health Centre providing service to children, prenatal to six years of age, and their families to help build a healthy foundation for positive later life outcomes.

The Early Years Administrative Assistant contributes to the effectiveness of the Early Year programs by providing administrative support, reception and office management. The Administrative Assistant is the first contact with families using our services and provides support to different programs and services, including the Child Development Clinic (CDC). The Early Years Administrative Assistant works to screen and assess family and children’s needs; prioritize and manage client registrations, referrals, and waitlists; and provide administrative and program supports.

This is a Full-time permanent position. Staff will participate in HOOPP (Healthcare of Ontario Pension Plan), and receive additional medical benefits.

This is a bargaining unit position within OPSEU Local 5115.

Salary

$21.49 to $25.90 per hour

Responsibilities Include

Administrative Support

  • Welcome visitors, answer phone calls and enquiries
  • Assist clients by providing information and resources
  • Provide general office support (i.e.: filing, ordering supplies, schedule appointments, meetings and other bookings, etc.)
  • Assist with preparation and distribution of promotional materials including social media, website listings and flyers
  • Provide administrative support including scheduling team meeting, sending agenda and taking minutes, correspondence, forms and other tasks
  • Process cheque requisitions for programs, as assigned

Program Support

  • Responds to enquiries from families over the phone, walk-ins or referrals and refers families to internal and external services as required
  • Register new clients using electronic health record system and book initial and follow up appointments for clients
  • Create groups in PSS and register participants based on schedule
  • For the CDC: maintain client list (active and closed); book appointments and do reminder calls; create/maintain file system including incoming correspondence, and interpretation needs; scan and file reports as needed

Qualifications and Skills Required

  • Minimum two years’ experience in administrative office support in a community setting;
  • Experience using electronic medical records – EMR (PSS) or similar data base;
  • Post-secondary diploma in related field, an asset;
  • Strong computer skills in Microsoft office and relevant software applications
  • Strong organizational skills and the ability to work independently
  • Strong verbal, written and listening communications skills
  • Strong problem solving and analytical skills
  • Able to bend / lift light materials on occasion
  • Knowledge of resources and services available to families with children 0 – 6, an asset
  • Ability to work collaboratively within and across teams
  • Understanding of Anti-oppression principles
  • Ability to work effectively with people of various cultural, age and economic backgrounds
  • Second language an asset
  • Knowledge of the Regent Park area and issues affecting families living within the Regent and Moss Park communities
  • Must have up to date COVID-19 vaccination for the protection of clients and staff
